Sun Prairie Youth Hockey ~ Letter From the President

Dear Sun Prairie Youth Hockey Association (SPYHA) Members,

SPYHA is now accepting nominations for the following Board positions: President Elect, Secretary, and (Age-Level) Directors, as well as Coaches’ Representative. Candidates must be members in “good standing” of SPYHA and will be asked to submit a biography or brief letter of introduction. More information on the specific duties of each position are available below and on the Board page of the SPYHA website (under 2014 SPYHA General Elections). 

Nominations should be submitted by May 18, 2014. Approved candidates and their biographies will be posted on the SPYHA website by May 25, 2014. Self–nominations are acceptable. 
 
Nominations received after May 18 will not appear on the ballot, nor will late nominees be invited to share their biographical information at the annual meeting, unless they are nominated at the meeting and are running unopposed. Late nominees would be eligible to run as write-in candidates.

The elections will take place at the SPYHA Annual Membership Meeting, scheduled for Sunday, June 1, 2014, beginning at 5 pm. A regular Board Meeting will immediately follow.

The ACE Director position for Sun Prairie Youth Hockey is now an open position. If you are interested in an ACE Director position (ADM, Travel & Lead) please email ecomm@spyha.com and provide a summary of coaching experience and why you are interested in this Board-appointed position. An ACE Director is the association’s coaching director. I would like to thank Coach Chris Finkler and Coach Troy Giesegh for their time and commitment the past few years as SPYHA ACE Directors. The time and commitment given to Sun Prairie Youth Hockey is greatly appreciated. 

The 2014 / 2015 volunteering commitment started on April 1st. As always, you will need to sign up for DIBS. There are many opportunities to volunteer at the arena in the off months of hockey. Please check DIBS often to see what is available. Questions? Email the volunteer committee at vcomm@spyha.com

Change of Volunteer Requirements for the 2014-2015 Season!!
At the March board meeting the SPYHA Board of Directors approved changing the required number of SPYHA volunteer hours:
 
Travel families increased from 30 per family to 40 per family per season. 
ADM families increased from 15 per family to 20 per family per season

 
The additional hours will be required to be fulfilled in the concession stand: 10 hours for travel families and 5 hours for ADM families. There will be a separate buy-out option for concession stand hours only offered at the beginning of each season. 
 
This change was needed for the growth and success of our association. Because the concession stand is THE funding source for SPYHA besides membership dues, it was imperative to ensure its success. ALL SPYHA families (including those with board members, coaches, or any other volunteer’s positions) will be REQUIRED to work their allocated hours in the concession stand or buy out of those hours. 

Our new facility IS THE best in the State and the PRIDE of Sun Prairie! 

I would like to sincerely thank everyone who has helped to get SPYHA and Sun Prairie Ice Arena this far.

Election Information

PRESIDENT ELECT (Article IV, Section 4B – SPYHA, Inc. Bylaws)
The principal duties of the President Elect shall be to serve on the Executive Committee, to prepare and to become the President in the succeeding year, to perform the duties of the President in his absence, to serve as the chairperson at all membership meetings, and to perform any other duties as deemed necessary by the corporation’s policies. Suitable candidates must be willing to commit to a 3-year appointment, with the President Elect transitioning to the position of President for the 2015 – 2016 operating year, and to the Past President position in the 2016 – 2017 operating year.

SECRETARY (Article IV, Section 4D – SPYHA, Inc. Bylaws) 
The principal duties of the Secretary shall be to countersign all conveyances, assignments and contracts executed by the corporation, and to keep a record of the proceedings of the members, the Board of Directors, and the Executive Committee, and to safely and systematically keep all books, papers, records, and documents belonging to the corporation, or pertaining to the business thereof. The Secretary shall handle all correspondence pertaining to the corporation's business as so directed by the Board of Directors. Other minutes and records shall be the responsibility of the Secretary, and a record of their location or locations shall be maintained by the Secretary and at all times made available for inspection by any member or his agent or attorney for any proper purpose at any reasonable time. 

DIRECTORS (Article II, Section 1 – SPYHA, Inc. Bylaws)
One director is elected from each age classification of the SPYHA, Inc., programs, two directors from the ADM program (one from ADM U6 and one from ADM U8), and one coaches’ representative. Members of the Board of Directors, other than the officers and coaches’ representative, shall have a skater in the age classification or program they are representing during the year of their term, and shall be members in good standing.

COACHES’ REPRESENTATIVE (Article II, Section 1 – SPYHA, Inc. Bylaws)
The Coaches’ representative must be a SPYHA member in good standing, have current USA Hockey Coaching Education Program (CEP) certification, and have prior SPYHA coaching experience.
